Last week, I led a session with a large dealer group to discuss the challenges of integrating Online Appointment Booking (OAB) into the Dealer Management System (DMS).
We debated the usual concerns:
- How much workshop capacity do we expose online?
- How do we prevent fake bookings?
- Should we limit it to simple repairs like tires and maintenance, or include complex bodywork?
While we didn’t examine the technical DMS setup closely, we all reached the following conclusion: OAB integration is no longer negotiable. In today’s market, it is a “must-have.”
We all know the standard benefits: 24/7 availability and better customer experience. But there is a hidden operational benefit that regularly goes overlooked. This brings me to my Dealer Insight of the Week:
The Insight: Load Balancing. The key advantage of OAB integration is its ability to combat the ‘Morning Rush’, that chaotic period when everyone drops off their vehicles at once. This overwhelms service advisors, limiting meaningful customer interaction and upselling opportunities.
Online booking directly tackles this operational pain point by smoothing out morning traffic peaks. You have to configure your OAB to steer customers toward “Green Zones”, time slots where your workshop load is light. One automotive scheduling platform I reviewed takes this a step further: it encourages customers to reserve afternoon slots by offering discounts and additional free services.
It’s a brilliant strategy. It smooths the curve of your workshop load, giving your advisors the time they need to attend to customers and upsell properly.
Takeaway: Don’t just use OAB for convenience. Use it to motivate customers to choose slots where you have greater control.
